Recording a Payment Received

Once a customer pays you, record the payment in BillYantra to keep your accounts up to date and track outstanding balances.

Record Full Payment

  1. Go to Sales โ†’ Invoices and open the paid invoice.
  2. Click Record Payment (or Actions โ†’ Mark as Paid).
  3. Fill in the payment details:
    • Payment Date: Date you received the payment.
    • Amount Received: Defaults to the full outstanding balance.
    • Payment Mode: Select Bank Transfer, UPI, Cheque, Cash, or NEFT/RTGS.
    • Reference / UTR Number: Enter the transaction ID or cheque number for your records.
    • Notes: Optional internal note.
  4. Click Save Payment.

The invoice status changes to Paid and the outstanding balance shows โ‚น0.

Record Partial Payment

BillYantra supports partial payments for installment-based billing:

  1. Follow the same steps as above.
  2. In the Amount Received field, enter the partial amount (e.g., โ‚น5,000 against a โ‚น11,800 invoice).
  3. Save the payment.

The invoice status changes to Partially Paid. The remaining balance is tracked automatically. You can record subsequent payments until the invoice is fully settled.

Viewing Payment History

On any invoice, scroll to the Payment History section at the bottom to see all payments recorded, including dates, amounts, and references.

Deleting a Payment Entry

If you recorded a payment by mistake, click the Delete icon next to the payment entry in the Payment History. The invoice balance is restored automatically.

Tip: Use the Receipts feature to generate a payment receipt for the customer after recording a payment. Go to the payment entry and click Download Receipt.
