Stock Management — Tracking Inventory Levels
If your business deals in physical goods, BillYantra's stock management module helps you track inventory so you never oversell or run out unexpectedly.
Enabling Stock Tracking
When adding a product (Inventory → Products), enable the Track Inventory toggle. Set:
- Opening Stock — Current stock quantity when you start using BillYantra
- Opening Stock Value — Total value of opening stock (for your books)
- Reorder Level — Minimum quantity before you get a low-stock alert
How Stock Moves
| Event | Stock Change |
|---|---|
| Invoice finalized (sale) | Stock decreases |
| Purchase recorded | Stock increases |
| Credit note issued | Stock increases (goods returned) |
| Debit note raised | Stock decreases (goods returned to vendor) |
| Manual adjustment | As per your entry |
Viewing Current Stock
Go to Inventory → Stock. You will see:
- Product name and category
- Current stock quantity
- Value (at purchase cost)
- Reorder level with a 🔴 alert badge if stock is below reorder
- Movement history — click any product to see a full in/out log
Stock Valuation Methods
BillYantra uses FIFO (First In, First Out) for stock valuation by default. This means the oldest stock is treated as sold first, which affects your cost of goods sold.
Manual Stock Adjustment
For corrections (damaged goods, physical count differences):
- Go to Inventory → Stock.
- Click Adjust next to any product.
- Enter the adjustment quantity (positive to add, negative to remove).
- Add a reason (Damaged, Theft, Counting Error, etc.).
Note: Stock management is most useful for product-based businesses. If you are a pure services business, you can skip this module entirely.
