Draft vs Finalized Invoice — What's the Difference?
BillYantra has two primary invoice states: Draft and Finalized. Understanding the difference is critical for GST compliance.
Draft Invoice
A draft invoice is a work-in-progress document. Key characteristics:
- Editable: You can change any field — customer, items, rates, dates, terms.
- No permanent number: The invoice number may be tentative or blank.
- Not legally valid: Draft invoices should not be shared as official tax invoices.
- No GST obligation: Since it is not finalized, it does not appear in your GST returns.
Use drafts to prepare invoices in advance, get internal approvals, or work on estimates before confirming with the customer.
Finalized Invoice
A finalized invoice is a legally issued tax invoice. Key characteristics:
- Locked: No fields can be edited after finalization. This is mandated by GST law to prevent manipulation.
- Permanent invoice number: The number is assigned from your sequence and cannot be reused.
- GST liability created: The invoice appears in your GSTR-1 return for the relevant period.
- Shareable: You can send, download, or share a finalized invoice as an official document.
Why Can't I Edit a Finalized Invoice?
Under Indian GST rules, once a tax invoice is issued to a customer, it cannot be modified. This protects the integrity of the GST credit chain — your customer claims input tax credit based on the invoice you issued. If you could silently edit it, their ITC claim would be invalid.
What to Do If You Made a Mistake
If you finalized an invoice with an error:
- Issue a Credit Note: For corrections involving value or tax amount, raise a credit note against the invoice.
- Issue a Debit Note: If you undercharged the customer, raise a debit note for the balance.
- In BillYantra, go to the invoice and click Actions → Raise Credit Note or Raise Debit Note.
