Converting a Quotation to an Invoice
Once a client accepts your quotation, you can convert it into an invoice in one click โ all items, rates, and customer details carry over automatically.
How to Convert
- Open the quotation from Sales โ Quotations.
- Click the Convert to Invoice button in the action bar.
- BillYantra creates a draft invoice pre-filled with:
- Same customer
- Same line items (product, HSN/SAC, qty, rate, GST)
- Same notes
- You are redirected to the new draft invoice to review and finalize.
What Happens to the Quotation?
After conversion:
- The quotation status changes to Accepted.
- A link to the generated invoice appears on the quotation page.
- The quotation can no longer be edited (it is locked as accepted).
Editing Before Finalizing
The generated invoice starts as a Draft so you can make last-minute adjustments โ change the invoice date, add payment terms, update a line item โ before you finalize and send it.
Note: You can only convert a quotation once. If the client requests changes after acceptance, edit the draft invoice directly, or decline and re-create the quotation.
Quotation Statuses

| Draft | Created but not sent |
| Sent | Emailed to client |
| Accepted | Client confirmed โ converted to invoice |
| Declined | Client rejected the quote |
