Quotation Payment Terms — Advance, Outstanding & Urgent Dues

BillYantra's quotation payment terms section lets you clearly communicate to clients exactly how much they owe upfront, what past dues need clearing, and when the balance is due.

Advance Payment

Set the Advance % field (default 50%) to specify what percentage of the quotation total the client must pay to start work.

Example: Quotation total ₹50,000, Advance 30% → Client pays ₹15,000 upfront.

The quotation PDF shows:

  • Advance Required: ₹15,000 (30% of ₹50,000)
  • Balance on Completion: ₹35,000

Outstanding Dues

If the client has previous unpaid dues with you, enter the amount in Outstanding Dues. This is printed on the quotation as "Previous Outstanding" and is added to the amount payable to start work.

Urgent Due (Partial Outstanding)

Sometimes a client can't pay all outstanding dues at once. Use the Urgent Due (Pay Now) sub-field to specify only the portion of outstanding dues required immediately.

Example:

  • Outstanding Dues: ₹20,000
  • Urgent Due (Pay Now): ₹8,000
  • Deferred (pay later): ₹12,000

The quotation PDF shows:

Advance (50%) ₹25,000
Urgent Outstanding ₹8,000
Amount to Pay to Start Work ₹33,000
Deferred Outstanding ₹12,000
Balance on Completion ₹25,000

Where These Appear on the PDF

A blue "Payment Terms" box on the quotation PDF shows the full payment breakdown clearly. This sets expectations with the client and reduces payment disputes.

Tip: Leave Outstanding Dues blank if the client has no previous dues. Leave Urgent Due blank if the full outstanding must be paid at once.
