Terms & Conditions — Creating Reusable Invoice Clauses
What Are Invoice Terms?
Terms & Conditions are the legal and operational clauses at the bottom of your invoice — payment terms, late fee policies, dispute resolution, and service conditions.
In BillYantra, you can create a library of reusable terms that you select when creating an invoice.
Creating a Terms Template
- Go to Settings → Terms & Conditions in the sidebar.
- Click + New Terms.
- Enter a name (e.g. "Standard 30-day Payment Terms").
- Write the clause text. You can use formatting.
- Mark as Default if you want it auto-selected on every invoice.
- Click Save.
Common Terms to Create

| Payment Terms | "Payment is due within 30 days of invoice date. Late payments attract 2% per month interest." |
| GST Clause | "GST is charged as per applicable rates. GSTIN: [Your GSTIN]. Reverse charge not applicable." |
| Service Terms | "Services rendered are non-refundable once delivered. Disputes must be raised within 7 days." |
| Export Terms | "This is a zero-rated export invoice. IGST paid under LUT/Bond." |
How Terms Are Snapshotted
When you finalize an invoice, BillYantra copies the selected terms text into the invoice permanently. This means:
- Future edits to the terms template do NOT affect old invoices.
- Every historical invoice retains exactly the terms that were in force when it was created.
- This is important for legal protection.
Adding Terms to an Invoice
When creating an invoice, scroll to the Notes & Terms section. Select one or more saved terms from the dropdown, or type custom terms directly.
Tip: Create separate terms for domestic and export customers, and for different service types (project-based, retainer, one-time).
